As an executive assistant, you will play a key role in the organization, coordination, and smooth operation of strategic operations. You will be a true right-hand person for management and will actively contribute to the fluidity of communications and priorities.

You will work in a collaborative and engaged team, where autonomy, trust, and proactivity are valued.

Responsibilities

  • Coordinate the logistics of management and team meetings.
  • Communicate with partners, collaborators, and clients by phone and email.
  • Perform filing, receiving, and sending documents.
  • Review, write, and format various professional documents.
  • Create client files and submit documents for signature via the internal portal.
  • Follow up with clients, particularly regarding unpaid invoices.
  • Design and format PowerPoint presentations.
  • Respond to the varied administrative needs of departments.
  • Perform various administrative tasks: opening files, invoicing, collaborating with the entire team. 

Qualifications

  • College diploma (DEC) in administration, office technology, secretarial studies, or a related field.
  • Relevant experience of 3 to 5 years in an executive assistant role or strategic administrative position.
  • Excellent command of the Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
  • Strong proficiency with technological and collaborative tools (ERP, CRM, digital platforms — Odoo is an asset).
  • Excellent command of French and very good knowledge of English, both spoken and written.
  • Experience in coordinating complex schedules, organizing meetings, and managing multiple priorities.
